Privacy Policy
Last updated 24 August 2026
This policy explains what personal information VK Garden Works collects, why we collect it, what we do with it and what rights you have over it. We keep it deliberately short and plain, because a privacy policy nobody reads protects nobody.
1. Who is responsible for your data
VK Garden Works, a garden maintenance business trading from Maidstone, Kent, is the data controller for the information described here. That means we decide what is collected and why.
Contact us about anything on this page at email us or 07739 561645.
2. What we collect
When you send an enquiry
- Your name
- Your phone number and email address
- Your postcode and, where you give it, the property address
- What you have told us about the job, including any photos you send
- Whether the property is private or commercial, and how often you want visits
When you use the website
- Standard technical information such as browser type, device type, approximate location and the pages you looked at
- Where analytics or advertising tools are in use, information about how you arrived at the site and whether you went on to make an enquiry
We do not collect payment card details through this website, and we do not ask for any special category data such as health information.
3. Why we use it, and our lawful basis
- To give you a quote and carry out the work. Lawful basis: performance of a contract, or steps taken at your request before entering one.
- To contact you about a booked visit, for example to move it because of weather. Lawful basis: performance of a contract.
- To keep records of work carried out and payments received. Lawful basis: legal obligation, and our legitimate interest in running the business.
- To understand how the website is used and whether our advertising works. Lawful basis: consent, given through the cookie choice where one is presented, or our legitimate interest in maintaining the site.
We do not sell your information, and we do not pass it to anyone for their own marketing.
4. Who else sees it
A small number of service providers process data on our behalf, under contract, and only for the purposes we set:
- Formspree, which receives and forwards the enquiry form so it reaches our inbox
- Our website host, which stores the site and its server logs
- Our email provider, which holds correspondence with you
- Google, where analytics or advertising measurement is enabled on the site
Some of these providers are based outside the UK. Where information is transferred abroad, it is protected by UK approved safeguards such as the International Data Transfer Agreement or an adequacy decision.
We may also disclose information where we are legally required to, for example to HMRC or in response to a court order.
5. How long we keep it
- Enquiries that do not turn into work: up to 12 months, then deleted.
- Customer records and correspondence: for the duration of the working relationship and up to 6 years afterwards, which is the period we are required to keep financial records for.
- Website analytics: as configured in the relevant tool, typically no more than 14 months.
6. Cookies
The site itself does not set any cookies to work. Fonts are loaded from Google Fonts, which means your browser makes a request to Google's servers.
If analytics or advertising measurement is switched on, those tools set cookies to recognise a returning visitor and to record whether an enquiry followed an advert. Where that is the case, a cookie banner appears and nothing non essential is set until you agree to it. You can also clear or block cookies in your browser settings at any time.
7. Your rights
Under UK GDPR you have the right to:
- Ask what we hold about you and get a copy of it
- Have anything inaccurate corrected
- Ask us to delete it, where we do not need to keep it
- Ask us to restrict how we use it, or object to us using it
- Ask for it in a portable format
- Withdraw consent at any time, where consent is what we relied on
Ask us and we will deal with it within one month, free of charge. There is no form to fill in, an email or a phone call is enough.
8. Complaints
If you think we have handled your information badly, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
9. Children
This website is aimed at adults arranging garden work. We do not knowingly collect information about children.
10. Changes
If this policy changes, the updated version appears on this page with a new date at the top.
